Summary

An exciting opportunity has arisen at our Bristol Office for an experienced Secretary/Administrator.

The successful applicant will provide general secretarial and administrative support to two Divisional Directors and their respective teams.

Job Role

The ideal candidate will be expected to:

  • Provide general administrative and secretarial support to two Directors and their respective team
  • Be the point of contact for all internal and external Software Solutions & Products Divisional customers including:
    • Arranging customer visits
    • Ensuring the Directors are briefed on all meetings
    • Collating and producing relevant papers & materials
    • Undertaking research to support meetings, allowing any required preparation time
  • Diary Management of two Directors
  • Ability to prioritise incoming emails by identifying and actioning high importance email
  • Prepare briefing material and agendas before meetings
  • Prepare minutes and chase actions after meetings
  • Prepare and submit mileage expenses & VISA statements in line with Finance expenses policy
  • Liaise with SEA’s Travel Provider on flights, trains and hotels
  • Event arrangements, including venue co-ordination and invitations
    • e.g. Organise 3 separate User Groups on a quarterly basis
  • Provide temporary cover for Bristol Reception
  • Ad-hoc support to the HR staff in the Bristol office including preparation of letters and scanning documents
  • Incorporating the One SEA ethos in all day-to-day work creating a seamless approach in the wider administrative pool

Experience Required

The role holder must have the following skills, experience and attributes:

  • Must be proficient in Microsoft Office
  • Good organisational skills
  • Good attention to detail
  • Good written and communication skills
  • Good Organisational skills
